We’re thrilled you’ll be joining us as a Sponsor of the 2024 Peer-to-Peer Professional Forum Conference! This page will serve as your “hub” for all things sponsor-related. Please note that not all of the below information may be applicable to you (e.g. if you’re not exhibiting at the event). If you have any questions, please contact Marcie Maxwell.

SPONSOR ATTENDEE REGISTRATION

Use the buttons above to register the team members who will be using the passes included in your sponsorship package.

Please Note: The registration system requires each attendee to have an account in our P2PPF database. To check if you have an account in our system, enter your email address in the Existing Member portion of the form and click ‘Forgot Password’. If you do NOT already have an account, you will need to create an account as a new user in order to access this complimentary registration form.

Each person has to register using their own username and password (including creating it if they don’t have one). Or the person completing the registration form for them has to have the username and password of the person being registered.  

If you have questions about how many sponsor passes you are entitled to, wish to purchase additional passes, or substitute a new attendee for someone already registered, please email Melissa Montera

CONFERENCE MOBILE APP

We will again be using the Whova conference app as the digital hub for the Peer-to-Peer Professional Forum Conference. Check out the Whova App Exhibitor Guide for more details. Key app functionality for sponsors includes:

– Track the agenda
– Interact with attendees
– Add a promotional offer
– Collect leads by scanning  QR codes
– Upload videos & handouts
– Participate on community boards

Download the Conference App starting Jan. 1, 2024. Access code is P2PFORUM24. Note: Please use the same email address for the app as you use when registering for the conference. 

Manage Booth Staff

In order to be able to scan participant QR codes, your on-site colleagues will need to be added as “booth staff.” Under Exhibitor Hub, click “Manage Booth Staff” to select registrants to be added. Access to the app is limited to registered attendees.

EXHIBIT HALL DETAILS

The P2PForum24 Exhibit Hall will be open, starting at 5:30 pm during the Opening Happy Hour on Wednesday, February 21 through the Closing General Session on Friday, February 23 for exhibiting sponsors with set times when attendees will be encouraged to visit.

Schedule

See below for information on when exhibiting will be highlighted in the schedule, as well as set-up and tear-down times. Please note that the hotel will not be providing overnight security so please plan to remove any items you are concerned about.

Set-up will begin on Wednesday, February 21 at 9 am. Your table will be clearly marked with your organization’s name (we do not have booth numbers).  Booths should be completely set up by 12 pm ET to avoid impeding the traffic flow at registration or prior to the General Session & Summits.  Exhibiting begins at 5:30 pm at the Opening Happy Hour.

Tear-down can begin at approximately 12 pm on February 23 after the Closing Session and should be completed by 2 pm.

Exhibit Hall Layout

As an exhibitor, you will be provided with a 10 ft x 6 ft footprint for your display. Please note: The Philadelphia Marriott Downtown works closely with the local fire marshal who requires ample space in all hallways, meaning all items related to your booth (e.g. pop-up banners) must fit within this footprint. Each exhibitor will be provided a 6 ft table.

For specific requests, please email Gerard Mendoza at the Philadelphia Marriott Downtown, who can connect you with local vendors.

Power & Other AV Needs

If you need power, dedicated email or A/V equipment at your table, you can order directly from Encore, the Marriott’s in-house AV service. 

Giveaways

If you are planning giveaways at your booth, we are expecting approximately 650 attendees at the event.

Please note that only small, pre-wrapped food items (e.g. candy) are allowed to be distributed at the booths, per conference hotel regulations. Other food items can be ordered directly through the hotel. Any unapproved outside food will be subjected to a per item fee by the hotel.

AFTER HOURS ACTIVITIES

If hosting an off-site dinner or happy hour, please schedule at least 45-60 minutes after the final session of the day (Wednesday concludes at 6:30 pm; Thursday concludes at 5:30 pm) to allow attendees to maximize their participation. Please share the details for any off-site events with Marcie Maxwell.

SHIPPING INFORMATION

All materials should arrive at the hotel by Tuesday, February 20. Please Note: Monday, February 19 is a holiday, which will impact shipping times.

Please reference the Philadelphia Marriott Downtown Package Shipping Instructions to ensure proper delivery and retention of packages.

Sponsors are responsible for any shipping/ handling costs with the on-site FedEx Office Business Center. For more information, please reference the Philadelphia Marriott Downtown Package Shipping Instructions or contact the on-site FedEx office at (215) 923-9024. Package deliveries should only be scheduled after the recipient has checked into the hotel.

Package pick-up & delivery can be expedited by completing the Tender Authorization Form.

How to Label Your Packages (IMPORTANT!):
Your shipping labels should be clearly and prominently marked as follows (including items sent by third-party printers/vendors), so that we can ensure you have what you need onsite.
